Executive Officer (Managing Partner)

The Executive Director is hired by the board of directors. Responsibilities include but are not limited to:

Advise the board and carry out tasks assigned by the board

Oversee daily operations, project planning, and special events, working closely with each program coordinator

Personnel management (recruitment, hiring, training, evaluation and termination of staff)

Together with the Operations Director, develop and manage the annual budget for board approval, including necessary revisions

Chief Technology Officer (Managing Partner).

Represent the technological agenda in staff meetings and when making hiring decisions

Maintain current knowledge of technology landscape and developments

Consolidate our technology platforms and create plans for each

Track, analyze and monitor technology performance metrics

Chief Financial Officer (Managing Partner).

Act as Chief Financial Officer and strategic business partner to senior executive leadership team.

Assess and evaluate financial performance of organization with regard to long-term operational goals, budgets and forecasts.

Provide insight and recommendations to both short-term and long-term growth plan of organization.

Identify, acquire and implement systems and software to provide critical financial and operational information. Evaluate departments and make suggestions for automating processes and increasing working efficiency.

Communicate, engage and interact with Board of Directors, CEO, COO and Executive Leadership Team.

Create and establish yearly financial objectives that align with the company’s plan for growth and expansion.

Serve as a key member of executive leadership team and round table discussion panel.

Participate in pivotal decisions as they relate to strategic initiatives and operational models.

Interact with and bring department into line with Board of Directors’ plans, initiatives and recommendations.

Implement policies, procedures and processes as deemed appropriate by senior leadership team

Employee Services (HR) & Finance Officer (Managing Partner).

Employee Services and Payroll Director role delivers a range of transactional human resource (HR) services to support the achievement of overall business results and customer service excellence.

This role is accountable for employee and client/customer pay and invoices. Also, delivering accurate, timely and reliable transaction processing, advice and customer supports Through the effective use of tailored services delivery strategies.

Perform a range of HR data and employee services to support the operational functioning of the assigned business unit. Services may include operational support for the processing of payroll and leave, employee on boarding and separations, employment records and finance transactions.

Provide information and guidance to internal customers on matters relating to conditions of employment, entitlements, employee self-service, and HR procedures and records. Information and guidance may be given following an employee enquiry, as a result of an identified issue and/or discrepancy, or in response to requests for information for reporting and/or audit purposes.

Respond to incoming enquiries in a confidential, responsive, customer-focused manner and ensure that accurate, targeted and timely information supplied effectively resolves the customer request. Enquiries may be received by telephone, email, online, face to face or via other technologies. Complex enquiries or contentious issues are raised with the supervisor to determine a suitable response.

Effectively apply new and/or updated technology applications, systems, procedures and organisational methods to deliver efficient and effective service in accordance with Department policy and the Directorate’s business practices and protocols. Applications include relevant HR systems, TRIM, MS Office and other technologies appropriate to the operations of the business unit, for instance Remedy, Total Contact Centre, Powerpoint, Prince2 project methodology, web and social media technologies.

Operations Director (Managing Partner)

The Operations Director is hired by the Executive Director. Responsibilities include but are not limited to:

Advise the board and carry out tasks assigned by the board

Assist in personnel management

Development of administrative standards and procedures related to personnel and staff development

Supervision of staff

Serve as liaison between staff and board members

Coordinate with the Executive Director and the board to oversee activities including grant applications, management of grants, special projects, fiscal management

Together with the Executive Director, develop and manage the annual budget for board approval including necessary revisions

Define priorities for all supervised staff

Inventory management of art and office supplies

Marketing Director (Managing Partner)

The Marketing Director is hired by the Executive Director. Responsibilities include but are not limited to:

Advise the board and carry out tasks assigned by the board

All marketing activities including establish the marketing budget with the executive director; create and implement marketing plan; develop marketing materials; advertising placement; develop direct mail plan

Membership management including establish and maintain member and prospective member databases; produce renewal notices; special member mailings

Publication and distribution of the quarterly newsletter

Website maintenance
